All About That Place 2026 – Prize Draw Terms & Conditions
These terms and conditions apply to prize draws and prize giveaways operated by the Society of Genealogists as part of All About That Place 2026 (“AATP”).
By entering a prize draw, participants agree to these terms and conditions together with any additional instructions or conditions stated for that particular draw.
- The Promoter
The promoter is the Society of Genealogists, a registered charity in England and Wales (registered charity number 233701), of 40 Wharf Road, London N1 7GS (“the Society”, “SoG”, “we”, “us” or “our”).
All About That Place is organised by the Society of Genealogists.
- Eligibility
Prize draws are open to eligible participants in All About That Place unless otherwise stated in the information accompanying an individual draw.
Employees of the Society and anyone directly involved in administering a particular prize draw may be excluded from entering that draw.
Any additional eligibility requirements will be stated when the prize draw is announced.
We reserve the right to ask a winner for reasonable evidence that they meet the eligibility requirements.
- Entering a Prize Draw
The method of entry, opening and closing times and, where applicable, the number of prizes available will be explained when each prize draw is announced.
Entries received outside the stated entry period, or which do not follow the stated method of entry, may not be accepted.
No purchase is necessary unless explicitly stated otherwise.
Where a winner is selected at random, the selection will be made fairly from eligible entries received.
- Prizes
A range of prizes has been generously donated by speakers, sponsors, exhibitors and other organisations supporting All About That Place.
Unless specifically stated otherwise:
- prizes have no cash alternative;
- prizes are non-refundable and non-exchangeable;
- prizes cannot normally be transferred or resold;
- a winner cannot request a different product, service or cash payment instead of the prize selected;
- any costs associated with using or enjoying a prize which are not specifically stated as being included are the responsibility of the winner; and
- prizes are subject to any terms, restrictions, expiry dates, booking requirements or availability imposed by the organisation or individual providing them.
Where winners are invited to select a prize from the AATP prize list, prizes are subject to availability. Once a prize has been selected or allocated it may be removed from the available prize list.
The description of each prize is based on information supplied to us by the prize donor. While we will take reasonable care to present that information accurately, we cannot guarantee that every aspect of a prize will exactly match photographs, descriptions or expectations.
- Prizes Provided by Third Parties
Many AATP prizes are supplied and fulfilled directly by independent speakers, businesses, archives, societies or other third-party organisations (“Prize Donors”).
The Society does not manufacture, provide or control these third-party products and services and does not endorse or guarantee their quality, suitability or fitness for a particular purpose.
To the fullest extent permitted by law, the Society is not responsible for a winner’s dissatisfaction with the quality, content, suitability or experience of a prize supplied by a Prize Donor.
Where fulfilment of a prize is the responsibility of a Prize Donor, the winner may be given appropriate contact or redemption details so that they can arrange delivery, booking or redemption directly with the Prize Donor.
We will take reasonable steps to assist if a problem arises with the fulfilment of a donated prize. However, where a Prize Donor fails to supply, honour or fulfil a prize for reasons outside the Society’s reasonable control, the Society cannot guarantee that the original prize will be provided.
Where reasonably possible, we may at our discretion offer or arrange a substitute prize of a similar nature or value. We are not obliged to make a cash payment in place of an unavailable third-party prize.
Nothing in these terms excludes or limits any liability which cannot lawfully be excluded or limited.
- Experiences, Consultations, Visits and Similar Prizes
Some prizes may consist of consultations, research sessions, memberships, training, archive visits, tours, event tickets or other experiences or services.
The winner is responsible for contacting the Prize Donor and making any necessary arrangements within the period specified.
Dates and times may be subject to the Prize Donor’s availability and their own terms and conditions.
Unless the prize description specifically says otherwise, travel, accommodation, meals, insurance and other incidental expenses are not included and are the responsibility of the winner.
The Society is not responsible if a winner is unable to use a prize because of their location, personal circumstances, availability or failure to satisfy a Prize Donor’s reasonable booking or participation requirements.
- Winner Notification and Claiming a Prize
Winners will be notified using the method stated for the individual prize draw, which may include announcement during an AATP activity, a message through the AATP community or Learning Hub, or email.
Winners may be invited to choose from the prizes then available on the AATP prize list.
A winner must respond and claim or select their prize within any deadline given in their winner notification.
If a winner:
- cannot be contacted;
- does not respond within the stated period;
- does not provide information reasonably required to confirm eligibility; or
- does not claim their prize as instructed,
we may withdraw their entitlement to the prize and, where appropriate, select another winner.
- Delivery and Redemption
The method by which a prize is delivered or redeemed will depend upon the prize.
Physical prizes may require the winner to provide a suitable postal address. Digital prizes may be supplied by email or through a redemption code. For consultations, visits, services and experiences, winners may instead receive details enabling them to contact the Prize Donor directly.
Where a prize is sent by a third party, responsibility for dispatch and delivery rests with that third party, subject to applicable law.
The Society is not responsible for delays, loss or non-delivery caused by incorrect information supplied by a winner or by circumstances outside our reasonable control.
- Changes, Withdrawal or Cancellation
The Society reserves the right to suspend, cancel, amend or withdraw a prize draw, or to substitute a prize, where this becomes reasonably necessary because of circumstances outside our reasonable control or where continuing the promotion as originally described is no longer reasonably practicable.
Where possible, we will seek to minimise any disadvantage to participants and will communicate significant changes appropriately.
The Society also reserves the right to disqualify entries or participants where there is evidence of fraud, abuse, manipulation of an entry process, breach of these terms or other conduct which could undermine the fair operation of a prize draw.
- Our Responsibility
We will administer AATP prize draws fairly and with reasonable care.
However, to the fullest extent permitted by law, the Society will not be responsible for:
- a winner’s personal opinion of, or dissatisfaction with, a prize;
- the acts or omissions of an independent Prize Donor;
- a Prize Donor changing or withdrawing a product, service, date or experience;
- additional costs incurred by a winner in claiming or using a prize unless expressly stated to be included;
- a winner being unable to use a prize due to their own circumstances;
- technical problems outside our reasonable control which affect participation in a draw; or
- losses which were not reasonably foreseeable.
Nothing in these terms excludes or limits the Society’s liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation.
- Personal Information
We will use personal information provided in connection with a prize draw for the purposes of administering the draw, contacting winners and arranging prize fulfilment, in accordance with the Society of Genealogists’ privacy policy and applicable data protection law.
Where a third party needs a winner’s personal information in order to provide a prize, we will tell the winner and obtain any consent required before sharing it.
Where possible, particularly for consultations, visits and similar prizes, we may instead provide the winner with the Prize Donor’s contact details so that the winner can contact them directly.
We may be required to make limited information about prize winners available to demonstrate that a valid award took place, subject to applicable promotional marketing and data protection requirements.
- General
The Society’s decision regarding the administration of a prize draw is final, subject always to applicable law.
If any part of these terms is found to be invalid or unenforceable, the remaining terms will continue to apply.
These terms and any dispute arising from them are governed by the laws of England and Wales.
